Purchasing Supervisor

Overseeing the daily work activities of the Office Stock Control and Purchase Administration functions. Keeping on top of the Company’s supply needs by managing a team of three and their individual suppliers and also being responsible for own portfolio of suppliers. Utilising the MRP functionality of the ERP system to ensure that demand is forecast out accurately to raise required purchase orders which maintains appropriate stock levels to meet customer demand.

  • Working on a 70/30 split of work activities, 70% purchase administration which includes raising PO’s and expediting goods, 30% on team development, coaching etc…
  • Overseeing daily activities of the Purchasing Administration function, including delegating tasks and coaching the team on best practices.
  • Offer leadership and supervision of the Purchasing Administration function by motivating to achieve departmental goals as agreed with the Head of Operations and Supply.
  • Monitoring stock demand and inventory forecasts, determining ongoing and future purchase requirements, identifying trends of products and agreeing stock increase/decrease levels with the Head of Operations and Supply.
  • Establish quality control measures and monitoring teams performance against them.
  • Ensures goods arrive On Time and In Full in line with pre-agreed expectations by working with the team to expedite goods correctly with their supplier portfolio.
  • Review KPI information in line with departmental objectives and implement plans to achieve the goals with the team.
  • Provide weekly reports to the Head of Operations and Supply on personal and team performance against objectives.
  • Work alongside and support the Procurement Manager where required with procurement activities.
  • Support the Warehouse Management team with inbound stock queries where required.
  • Support the supplier returns team by being the intermediary between supply and returns teams to co-ordinate delivery discrepancies and returns arrangements.
  • Support the warehouse team with stock counting activities.
  • Provide inbound delivery information to the Warehouse team to assist with resource planning.
  • Support the business with slow moving and obsolete stock by being a point of contact to negotiate returns with the original supplier.
  • Apply for purchase order approval through the authorisation hierarchy where required to do so.
  • Attend internal and external meetings with suppliers, supporting the Procurement Manager and Head of Operations and Supply where required to do so.
  • Be a safety champion within the business, reporting safety observations through the appropriate channels and providing feedback to the business on safety issues.
  • Support the business with other Operation or Administrative tasks as and where required.
  • Ensure compliance with ISO 9001, 14001 and 45001 and identify areas for process improvement within the department.
  • Comply with all laws and regulations, upholding the highest standard of ethics and corporate social responsibility
  • Log all Supplier complaints and non-conformances and provide a weekly overview to the Head of Operations and Supply with corrective measures.
